How to choose business software for your team

Start with the work that needs to improve

List the three tasks that cause the most delay or repeated work. Describe what happens today, who does it and where mistakes occur. Use a recent example without sharing private customer data.

Decide what improvement would be useful. It may be a faster order handover, clearer stock records or fewer missing documents. A long feature list is less helpful than a clear business problem.

Prepare a realistic demonstration

• Ask the supplier to show the same example from start to finish.
• Include the person doing the daily work and the person who approves it.
• Check corrections, cancellations and missing information as well as the ideal path.
• Try the system on the phones, computers and connections your team normally uses.

Compare the full cost

Ask for separate figures for setup, subscription or licence, users, branches, hosting, training, migration, integrations and support. Confirm whether taxes and third-party fees are included.

Discuss who owns the data, how you can export it, what happens when you leave and who pays for future changes. Compare written scope, not just the first price quoted.

Plan a manageable rollout

• Choose an internal owner with time to answer questions and make decisions.
• Clean and check the records you plan to import.
• Test permissions, backups and one complete working process.
• Agree training, support contacts and acceptance checks before the launch.

Prepare one page with your current process, users, locations, existing tools, target date and budget range if known. Ask which parts are available now, which need configuration and which require new development.
