The operations spine: attendance, leave, payroll, performance.

This is the part of CrewMate HR that has to be right every single month — biometric attendance with an audit trail, leave that follows your real chain of command, statutory payroll computed by a tested engine, and reviews people actually complete.

What does CrewMate HR do for day-to-day operations?

It runs the whole operational spine: attendance from biometric devices with audited corrections, leave through configurable approval chains with quorum rules, statutory EPF/ETF/APIT payroll with approved bank files, and performance cycles with goals and check-ins. Employees serve themselves from web or WhatsApp, so HR administers by exception rather than by relay.

The operations modules

Attendance

  • Fingerprint device integration with per-device status
  • Immutable punches; corrections separate and audited
  • Manual punches held in an approval queue
  • Overtime computed from shift end at statutory rates
  • Poya and mercantile holidays as distinct classes

Leave management

  • Full-pay, half-pay, no-pay and hold treatments per leave type
  • Two-stage recommend-then-approve flow
  • Visual approval-chain designer with quorum rules
  • Balances with monthly snapshots and a no-pay engine
  • Requests from web, app shell or WhatsApp

Payroll

  • EPF 8% + 12%, ETF 3% and APIT per component
  • Draft → review → approved → published run lifecycle
  • Bank payment files with approval before disbursement
  • Payslip PDFs, batch printing, salary advances and IOUs
  • Effective-dated salary revisions

Performance

  • Review cycles with goals and OKRs
  • Progress check-ins inline on each goal
  • Self and manager appraisals on a clear three-band scale
  • Qualitative peer feedback

Where does engagement fit into operations?

On top of the spine, not instead of it. Routine streaks, certificates with validity, goal check-ins and peer recognition keep the day-to-day moving — but they sit on operations that hold up in an audit.

Frequently asked questions

What HR operations does CrewMate HR cover?

The full day-to-day spine: attendance from biometric devices with an approval queue for manual punches, leave with configurable multi-level approval chains, statutory Sri Lankan payroll — EPF 8% and 12%, ETF 3%, APIT — with bank payment files, and performance reviews with goals and check-ins. Employees reach most of it from web or WhatsApp.

How is payroll kept correct?

The calculation engine computes statutory amounts per pay component and is tested against known-good payrolls. Runs move through draft, review, approval and publish; recalling a published slip requires a written reason; and bank payment files are generated and approved before money moves.

How do you prevent attendance disputes?

Punch records from fingerprint devices are never edited. Corrections are separate records that go through approval — payroll reads the corrected value while audit sees both. Manual punches wait in an approval queue instead of sliding into the payroll run, and managers only see the branches they're scoped to.

Can approvals match how our company really decides?

Yes — that's the point of the approval-chain designer. Rules can differ by company, branch or department, run through multiple levels, and use quorum rules like "any two recommendations grant this leave type." The recommend-then-approve pattern from Sri Lankan practice is built in, not bolted on.
